Customer Service & Support
Administrative Assistant
Location: Islandia; NY
Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m. (30‑minute lunch)
Compensation: $55,000–$65,000; based on experience
Key Responsibilities
Project Team Support: Provide daily administrative and logistical support to a team of two Construction Project Managers; track tasks, documentation, and deadlines.
Order Management: Prepare, submit, and follow through on material and service orders; reconcile confirmations and delivery schedules.
Client Communications: Manage inbound calls and email inquiries; route questions, capture details, and ensure timely follow‑up.
Insurance Coordination: Gather documentation, submit claims or certificates, and coordinate with carriers to resolve issues.
Facility Coordination: Assist with scheduling, inventory updates, and basic documentation for a facility used to store client belongings.
Office Operations: Maintain files, templates, and spreadsheets; support meeting prep; jump in wherever needed in a small, fast‑moving environment.
Qualifications
Demonstrated organization, attention to detail, and ability to prioritize in a dynamic, multi‑tasking setting.
Strong communication skills and professional phone etiquette with clients and vendors.
Comfort working in a small internal office and contributing across functions.
Experience in construction, restoration, logistics, or insurance preferred but not required; willingness to learn is essential.
Reliable transportation for daily onsite work.
Technical Skills
Proficiency in Microsoft Office (Outlook, Word, Excel).
Ability to learn and use company‑proprietary systems (training provided).
Benefits
PTO: 2 weeks; increases to 3 weeks after 3 years of service.
