Administrative Assistant

Location: Islandia; NY
Schedule: Monday–Friday, 9:00 a.m.–5:00 p.m. (30‑minute lunch)
Compensation: $55,000–$65,000; based on experience

Key Responsibilities

  • Project Team Support: Provide daily administrative and logistical support to a team of two Construction Project Managers; track tasks, documentation, and deadlines.

  • Order Management: Prepare, submit, and follow through on material and service orders; reconcile confirmations and delivery schedules.

  • Client Communications: Manage inbound calls and email inquiries; route questions, capture details, and ensure timely follow‑up.

  • Insurance Coordination: Gather documentation, submit claims or certificates, and coordinate with carriers to resolve issues.

  • Facility Coordination: Assist with scheduling, inventory updates, and basic documentation for a facility used to store client belongings.

  • Office Operations: Maintain files, templates, and spreadsheets; support meeting prep; jump in wherever needed in a small, fast‑moving environment.

Qualifications

  • Demonstrated organization, attention to detail, and ability to prioritize in a dynamic, multi‑tasking setting.

  • Strong communication skills and professional phone etiquette with clients and vendors.

  • Comfort working in a small internal office and contributing across functions.

  • Experience in construction, restoration, logistics, or insurance preferred but not required; willingness to learn is essential.

  • Reliable transportation for daily onsite work.

Technical Skills

  • Proficiency in Microsoft Office (Outlook, Word, Excel).

  • Ability to learn and use company‑proprietary systems (training provided).

Benefits

  • PTO: 2 weeks; increases to 3 weeks after 3 years of service.

Pay Details: $55,000.00 to $65,000.00 per year
