Job Posting: Accounts Receivable Administrator


Location: Huntington Beach, CA – Fully Onsite Pay: $20-23/hr Schedule: Monday to Friday, 8:00 AM to 5:00 PM


Position Overview

We are seeking a motivated and detail-oriented Accounts Receivable Administrator to join our Finance/Accounting team. The primary responsibility of this role is to safeguard and protect the company’s assets by ensuring the timely review of invoices and resolving billing disputes. This role involves posting cash, managing customer accounts, and ensuring timely communication of past dues.


Key Responsibilities



  • Perform data entry for customer setup, ship-to locations, billing, cash receipts, or other AR-related data entry.


  • Send out agings, statements, invoices, PODs, and other AR-related customer documentation.


  • File, scan, and print supporting documentation.


  • Use various customer portals to gather information and submit invoices.


  • Contact customers to discuss accounts, analyze accounts, correct invoicing errors, and document collection efforts.


  • Assist with end-of-month accounts receivable closing procedures, including journal entries and roll forward.


  • Complete bank reconciliations and forecasting reports for weekly and monthly reporting.


  • Lead AR meetings and coordinate with internal and external stakeholders to resolve complex issues.


  • Ensure invoicing is accurate and accounts are properly reviewed for the correct amounts and periods.


  • Evaluate the financial strength of new and existing customers.


  • Lead audit requests and support the month-end process to ensure timely close.


  • Provide recommendations for process improvements and potentially train junior staff members.


Qualifications



  • Education: High School diploma or equivalent.


  • Experience: 3+ years in Accounts Receivable


  • Computer Skills: Proficiency in Microsoft Excel, including experience with VLOOKUPS and Pivot Tables


  • Preferred: Experience with ERP software such as LN M3, Royal IV, or SAP. Degree in Accounting or Business is a plus.
