Office Assistant
LHH Recruitment Solutions is seeking an experienced Office Assistant who will be responsible for providing administrative support to the Plant Management team and staff. This role is vital in ensuring the smooth running of the office, managing schedules, organizing files and records, and providing excellent customer service.
Location: Coffeyville, KS 67337 Duration: 6 months, with a strong possibility of becoming a permanent position / 30-35 hours per week initially, likely to become full-time Pay Rate: $21.00 - $23.00 Per hour – Some Flex based on experience Key Accountabilities:Manage and organize the office's administrative activities, including answering calls, responding to emails, and greeting visitors.
Assist with scheduling appointments and meetings, ensuring that attendees are notified of dates, times, and locations.
Prepare and edit documents, reports, and correspondence, ensuring accuracy and consistency.
Maintain records and files, both paper and electronic, in an organized and efficient manner.
Perform general office duties such as photocopying, faxing, filing, and scanning documents.
Prepare and process invoices and purchase orders.
Assist with inventory management, including ordering office supplies and ensuring adequate stock levels.
Assist with the setup, training, and documentation of visitor and contractor orientations.
Coordinate with Customer Service & Transportation groups for packaging orders.
Be knowledgeable and follow all plant policies, DOT, IATA, IMDG, and safety guidelines.
Assist in weighmaster duties of scaling out as well as processing truck shipments, handling upwards of 60 trucks/railcars daily.
Schedule incoming and outgoing shipments for packaging and raw materials.
Monitor and track all plant traffic coming in and leaving the plant and enforce all associated rules. This applies to bulk trucks, raw materials, deliveries, and vendors.
Monitor and track all visitors, contractors, and vendors, ensuring they have signed in and out properly and have been provided the proper safety equipment for their time on site.
Extensive SAP knowledge required (Creating BOL, posting shipments, posting production, receiving raw materials and packaging, creating PO’s, and creating stock transfers).
Use FedEx Ship Manager to ship out samples/products as well as equipment as needed.
Create labels using the Dura Label machine.
Act as backup support for the Office Manager during breaks, vacations, and other times as necessary.
Key Knowledge, Skills, and Behaviors:
High school diploma or equivalent; an associate degree in business administration or a related field is preferred.
At least 2 years of experience in an administrative support role.
Strong organizational, communication, and interpersonal skills.
Proficiency in Microsoft Office Suite and other standard office software, SAP experience a plus.
Ability to manage multiple tasks and priorities in a fast-paced environment.
Must be able to follow management instructions and work independently with minimal direction from supervision.
Experience in the chemical processing industry or a related field is preferred.
